Online publication
For online publication, the digital version must be submitted to the publication server Publish.UP. Some faculties also require printed copies to be submitted to the University Library. The specific requirements of the faculties can be found in the applicable doctoral regulations or habilitation regulations.

Checklist for print publication
1. Notes on the approved version
Following the defense, any changes requested by the examination board must be incorporated. The approved version must be prepared in accordance with the faculty’s guidelines and, where necessary, to obtain the publication authorization/approval certificate.
Formal changes to the text, such as spelling and typographical corrections, may be made to the approved version without further confirmation from the faculty.
Please also note the further instructions (see point 10).

Please include a title page before the main text of your thesis, in accordance with the guidelines issued by the University Library of Potsdam:

Prepare your PDF file for publication:
Optional: Optional: Research data generated in the course of the university publication (e.g. measurement and survey data, laboratory results, audiovisual information, texts, software or simulations) should, where possible, be archived for the long term and published in a form that allows for reuse and citation. The research data management team is available to answer any questions you may have.
4. Publication Agreement
In order to publish your academic thesis on the publication server Publish.UP, the University Library of Potsdam requires the publication agreement signed by you.

Please complete the publication agreement and upload the signed copy to Publish.UP when registering your academic thesis, together with the other files.
5. Registration on Publish.UP
Fill in the form with the details of your academic thesis. Follow the instructions and help texts.
Upload the prepared PDF/A document (see point 3) of your academic thesis, the original files in their source format (Word, LaTeX, etc.) and the signed publication agreement.
If the file size exceeds 250 MB, please make the files available to us via Box.UP or another cloud service. You can enter the link to the file download in the comments field of the form.
Please complete the form as accurately as possible. In particular, the following details should be provided:
- Title (German and English)
- Abstract (German and English)
- ORCID iD
- 5 keywords (German and English)
- Date of defense
- Supervisors
- Examiners
- Institutional affiliation (down to the lowest level)
- DDC classification (down to the lowest level)
- License (see point 4 regarding the publication agreement)
This information is recorded in the university bibliography and the library catalogue, amongst other places, and makes it easier to find your thesis in search engines, catalogues, databases and directories.
6. Review by the University Library
In the next step, the University Library will review your submission and then get back to you within the specified processing time. If all the details are complete, the final version will be sent to you for review.
7. Production of the printed legal deposit copies
If your faculty requires additional printed copies, please use only the final version (see point 6) for printing to ensure that the printed and online versions are identical.
Please note the following requirements:
- Printed legal deposit copies must be submitted in DIN A4 format.
- The document must be printed on both sides.
- Use white, age-resistant paper (minimum 80 g/m²).
- The copies must be durable and securely bound. Suitable methods include, for example, adhesive, thermal or Velobinding. IMPORTANT: Ring bindings will not be accepted!
- Graphics and illustrations may be printed in black and white, provided they do not need to be reproduced in color for content-related reasons.
8. Submission of printed legal deposit copies
Please submit the printed legal deposit copies of your academic thesis to the University Library during opening hours. The copies may also be sent by post or handed in by another person.
9. Confirmation of receipt
The University Library will check the submitted documents for completeness and compliance with the requirements, and will then notify the Dean’s Office of your faculty by email that the documents have been submitted correctly. You may then collect your doctoral certificate from the Dean’s Office.
10. Further notes
Protection of personal data
If the version which is to be submitted contains a curriculum vitae (CV), this should be removed from the printed version.
If the CV is listed as an item in the table of contents, it should not be removed from the printed version without comment. Instead, insert a page as a placeholder, for example with the note: “Pages 120–122 (CV) contain personal data. They are therefore not included in the publication of the university thesis.”
Personal data should also be removed from the title page.
Declaration of Independence and Acknowledgements
To protect personal data, the Declaration of Independence should not contain a signature. The Declaration of Independence and the Acknowledgements are optional and may be removed from the printed legal deposit copies prior to production.
